Coach Training and Safety Education
KVA has the responsibility to provide screened, trained, and educated coaches/volunteers to ensure the safety and wellbeing of our athletes. We take our direction from Volleyball BC which is governed by Volleyball Canada.
All necessary courses can be found via the Coaches Locker Website and applicable courses are reimbursed at the end of the season.
INCIDENT/INJURY REPORTING
All coaches are required to report all incidents/injuries that occur during a practice or competition.

Copies of these forms are included in your first-aid kit provided by KVA.
First-Aid Training/Education
Currently, first-aid is not mandatory, but KVA is happy to reimburse Standard First-Aid CPR-C & AED training.
A basic f/a kit is provided to all teams. This is to be with you/team and available at all times during practice/competition. Make sure you know what needs to be in the kit and what actually is.
Please do not attempt to tape a joint/injury unless you have been properly trained to do so.

COLD THERAPY (INSTANT COLD PACKS)
Works by reducing blood flow to a particular area, which can significantly reduce inflammation and swelling that causes pain, especially around a joint or a tendon. It can temporarily reduce nerve activity, which can also relieve pain.
Apply an ice pack wrapped in a towel or ice bath to the affected area. You should never apply a frozen item directly to the skin, as it can cause damage to the skin and tissues. Apply cold treatment as soon as possible after an injury.
Use cold therapy for short periods of time, several times a day for up to 72 hours. Ten to 15 minutes is fine, and no more than 20 minutes of cold therapy should be used at a time to prevent nerve, tissue, and skin damage. You can elevate the affected area for best results.
NOTE: Instant Cold Packs are a convenient/instant source for cold therapy however they are only to be used on the initial treatment. Find an alternative source of ‘cold’ for continued/subsequent application. Know if/where ice is available at the facility/event. I.e.: TCC has an ice machine located on the floor TCC field house near/under the stands to the right nearest the entrance of the field house.
TAPING OF JOINTS (ONLY IF YOU HAVE BEEN TRAINED)
Taping of joints is meant to only provide ‘temporary’ support. If bracing is required, athlete should provide their own ex: ankle brace. If medical treatment is applied during a practice/competition, a coach should reconsider allowing that athlete to play until cleared by a medical professional.
OTC/PRESCRIPTION MEDICATION
Under NO CIRCUMSTANCE will a coach/volunteer under KVA provide/administer OTC(over the counter)/Prescription medication to athletes. Only in the circumstance when a parent/guardian is not able to accompany their athlete and shares medical information that requires an adult to monitor/verify dosage. This is the responsibility of the adult chaperone of that athlete.
REPLENISHMENT OF F/A SUPPLIES
Please ensure that you have sufficient supplies especially if you are travelling to an event.

Team Manager Manual and Guide
The following will be referred to as stated in parenthesis:
- Head Coach (HC)
- Assistant Coach (AC)
- Kamloops Volleyball Association (KVA)
- Volleyball British Columbia (VBC)
- Volleyball Canada (VC)
Team Manager Responsibilities
Managers are critical to the success of a team and act as a liaison between the HC, parents, players and KVA. It is important that the Team Manager support the HC by directing all questions concerning player selection, player positions and playing time to the HC. Do not explain a HC’s reasoning unless you have been explicitly told. Ask the parents or player to speak to the HC directly.
Team Managers are parent volunteers that work alongside coaches to alleviate additional stress of administration duties from the coaching staff. A manager helps enhance the organization, communication and success of the team. A manager is considered support staff to the HC.
It is mandatory that each team provides a minimum of 1 adult (non-coach) to act as a manager for the team. Once team selections have been completed, an email will be sent to all teams requesting a manager. Teams may have more than one. All managers will be required to attend a mandatory team meeting to go over the roles and responsibilities of a manager.
Managers must act and abide by adherence to VBC and KVA policies and protocols. Managers must complete all required certification, criminal record checks, as per the Person’s in Authority Checklist dictated by VBC.
Managers are not coaches. They may be required to help and support coaches, however, it is not their responsibility to field questions and/or concerns regarding coaching decisions and team issues. Managers do not make, or control team budgets, nor make final decisions for the team on their own. Managers are a part of the process, however, all final decisions are made by the HC and as dictated by VC, VBC, and KVA. Managers responsibilities include:

ORGANIZE SCOREKEEPERS AND LINES PEOPLE DUTIES:
- Coordinate directly with parents for volunteers for various duties at each tournament.

FOOD AT TOURNAMENTS:
- Work with other parents to coordinate team food and coaches’ food at longer tournaments and especially travel tournaments to ensure that athletes are fed and hydrated.

TRAVEL:
- Collaborating with the coaching staff, supporting the organization and planning of travel and stay for away and overnight tournaments.
- Manager will price out and book hotel rooms for athletes and coaches (as approved by VC, VBC, KVA, and the HC).
- Parents will book their own rooms
- Do not book hotel rooms until entry into the tournament is confirmed
- Managers will collect deposits and final payment amounts for travel as per the Coach’s Fee Policy (see below)

TEAM FUNDRAISING:
- Managers are responsible for handling all fundraising dollars for the teams per the KVA Fundraising Policy and utilizing the Team Fundraiser Tracker

TEAM GEAR:
- Managers may be required to pick up or coordinate pickup of completed team gear and jerseys
- Managers are responsible for ensuring the jerseys are collected at the end of the season

Coaches’ Fees
Coach fees for travel, overnight stay, and food allowance are paid for by parents of the team and collected by the Team Manager on behalf of the coaches.
- Coaches fees for each tournament will be estimated at least one month prior to the tournament, and will be due to be paid to the team manager (cheque or e-transfer preferred) 3 days prior to the first travel day of the tournament.
- There may be a final adjustment if hotel costs (for example) are more than originally budgeted.
Meals
It is highly recommended that the parents organize a “Lunch Chest” for the team at all events. A properly executed Lunch Chest is more cost effective, ensures proper nutrition, and allows for easier time management and team bonding. Create a shopping list/menu and collect equal amounts of funds from all participants (could include coaches as well). There is no guarantee of on-site food options being available, nor is there a guarantee of adequate time between matches to leave, eat and return.
Coaches Meal Fee’s are broken down as follows:
In Town Tournaments
- No Meal Fees
Day Trip (aka Kelowna/Vernon)
- $30/coach
- If the team is providing a “lunch chest” the coach is welcome to pay into out of their $30 meal fee.
Overnight
- $60 per day/per coach (so a 2 day tournament would be $120/coach)
- If the team is providing a “lunch chest” the coach is welcome to pay into out of their meal fee.
Hotels
Parents are responsible for their respective athletes at the hotel. KVA has no official requirement for team rooms except for following the Rule of Two as per VBC guidelines. This is up to the parents to decide and organize. Parents and athletes are required to adhere to the Player’s & Parent’s Code of Conduct including VBC’s Rule of Two throughout the entire trip.
Hotel fees are estimated and actual fees will have to be adjusted to reflect the final cost (after taxes, local hotel fees etc…).
Super Spikes, Regionals, etc..
- Budget $200/night per coach room
- 2 Day tournaments in Kelowna are 1 overnight stay. Kelowna is close enough for a morning drive in.
- 2 Day tournaments outside the Okanagan are a 2 night stay!
Nationals
- Budget for $200/night (4 nights) at Nationals
- Plan for Nationals being a 4 night stay.
Travel/Fuel
Coaches can have the option of carpooling with the team to reduce costs or in the event they don’t want to/can’t travel with their own vehicle (keeping in mind the Rule of Two).
Teams with multiple coaches are expected to carpool together unless the Rule of Two cannot be followed.
Fuel allowances are as follows:
- Mileage - $0.68/km
- To calculate: Round-trip distance (km) x $0.68 = Mileage
- Vernon: 230km x $0.68 = $156.40
- Kelowna: 338km x $0.68 = $229.84
- Victoria: 888km x $0.68 = $603.84
- To calculate: Round-trip distance (km) x $0.68 = Mileage
- Ferry (Island Tournaments) - Budget $200 round-trip/vehicle
- Flights (out of province tournaments) - as per receipt supplied by coach, economy bookings only
Fundraising & Sponsorship - Team Level
The KVA requires that all families within the team are given ample notice (as much as possible) of team fundraising opportunities. Families should also be told in writing/email all conditions pertaining to the distribution of proceeds dependent on participation in advance of all fundraisers. Families that choose to participate in a fundraising venture do so on the terms of the planned activity(s) that have been laid out. Those that do not, even though they are not participating, are likewise agreeing to and accepting the same terms. Once a fundraising opportunity is under way, in no way can anyone attempt by vote, or by any other method, change the terms of the fundraising opportunity. All funds from any fundraising opportunity must be returned to the Team Manager to account and be accounted for on the team financial spreadsheet which is provided and managed by the KVA.
It should be made clear at a parent meeting prior to any fundraising that you are fundraising as a team. This must also be made clear to the people who are supporting the fundraiser. A minimum of 75% of a team must be in agreement to fund raise. Members of the team are expected to participate in all fundraisers.
You may not use the Kamloops Volleyball Association as the organization for the fundraiser if the proceeds are not going to the whole organization. In this event, a specific team and the purpose of the fundraising needs to be clearly indicated.
A team must consider when fundraising that they are in the eye of the public. Therefore, proper conduct in all activities must be followed at all times as per the Players and Parents Code of Conduct. Only quality items should be considered when choosing fundraising items.
All fundraisers must have an end date, lasting no longer than one month.
Teams are permitted to fundraise for two “events” per season (ie: 2 tournaments or 1 tournament & 1 set team warm-up suits). Any additional requests will be considered by the Executive Director and/or Board for extenuating circumstances only.
Fundraising or sponsorship may only be conducted or accepted for the following purposes:
- Tournament Entry Fees
- Apparel - from our approved supplier only
- Year End Celebration (team members only)
No team shall be permitted to hold bank accounts in the name of Kamloops Volleyball Association.
All player registration and any related fees must be paid in full prior to submitting a request to fund raise.
All remaining monies must be returned to families by May 1st of the corresponding year and cannot be carried over for the next season.
Once a team has determined that they would like to fund raise, the team manager must submit a request for fundraising or sponsorship to the Executive Director and/or Board in writing using the Fundraising & Sponsorship Request Form. The form must be submitted a minimum of one week prior to the next Board Meeting for approval before the planned start of any fundraising. All requests will only be considered when presented at the monthly Board Meeting. All requests should include information on the fundraiser itself, anticipated income and intended expense. Teams must then submit a report on the actual income and expense within one week of the event/purpose that funds have been raised for.
